Fundraising Ideas: Why Written Documentation Is Important In Your Events

Having your own written documentation of everything that is happening in your fundraising event is very important no matter what kind of fundraising ideas you wish to use for your campaign. This will help you navigate your way on how to improve your project for the best since you have a basis on where to start and how to end it. Without a written document for all that is happening in your events, you would lose your way and end up in a big failure in the end. In this article, I am going to show you why it is important to document everything in your project to ensure its success in the future.

Your fundraising ideas would never become successful if you fail to plan and document them for future use. Like the say, if your fail to plan your plan to fail. This saying is very true to fundraising since you will never truly achieve success if you fail to plan ahead and put into documentation your fundraising plans in the first place. When preparing your documentation, you should include important information about everything in your campaign such as your fundraising schedules, your strategies to be used, your products, and contact numbers of your respective fundraising volunteers. The first thing that you need to prepare is to create an organization chart for your team. This chart should contain the names of your teams, their leaders and members as well as their respective tasks and responsibilities. Your organizational chart would remind them of their job on your fundraiser and the people who are responsible for their well-being. You should understand that even though this chart denotes what kind of position each and every one holds, this does not denote superiority over the other members. No one should act as a boss in your organization since you are all volunteers and are not paid to do work anybody. Your chart will also help your volunteers know who their team leaders are so that they need not to contact you every time they have questions; they can approach their respective leaders for clarifications and questions with regards to their work as fundraising volunteers. After you have created a comprehensive organizational chart for your members, the next step that you should do is to collect the contact numbers of your members and leaders. This would help you ensure that they are updated about the status of your events and also help you get in touch with them especially if you have problems regarding their work as volunteers. Aside from this, you can also use your own website or webpage to keep them updated and give out important information with regards to your fundraiser. You can also post your organizational chart on your own website so that they need not to go to your office to understand what kind of work they will be doing to your fundraiser

Another thing that you need to prepare and document is the fundraising schedules of your members. This will help them know what time of the day will they be working for you so that they too can adjust their personal schedules. Your schedules should also be open for changes especially if your members are volunteering as a part-time since they also have other things to attend to aside from working as fundraising volunteers.
